Every purchase, from request to payment
Purchase order software for Indian MSMEs: purchase requests, approvals, POs, goods receipts, vendor bills and payments on one connected trail.
What goes wrong today
- Purchases agreed over phone and WhatsApp with no request or approval on record
- Partial deliveries that nobody follows up so the rest of the order never arrives
- Vendor bills paid without checking what was received so overbilling slips through
- Department spending seen only at month-end after the budget is already gone
- Adding a vendor with a GST number and credit period, and a product with a reorder level
- A purchase request that, once approved, converts to a PO with nothing retyped
- Raising a PO directly when terms are already agreed with the vendor
- Receiving a partial delivery, with the PO staying open for the rest
- Matching the vendor's bill to the PO and GRN, then recording payment
How a purchase works in Centrik
- 1
Raise a purchase request
Create a request by hand or from low-stock items, with a reason for the approver. An approval workflow can route it to the right person before any vendor sees it.
- 2
Convert it to a purchase order
Once approved, convert the request to a PO in one click: vendor, item, quantity and delivery date carry over. If terms are already agreed, raise the PO directly.
- 3
Receive and check the goods
Record a GRN against the PO, with a quality check per line. Accepted goods go into stock at the right location, and a partial delivery leaves the PO open for the rest.
- 4
Match the bill and pay
Create the vendor invoice from the PO and GRN. Centrik matches them and flags any mismatch where you pay, then you record the payment with its bank reference.
